Employee Attendance (Frontline)

Timekeepers,

 

Beginning October 1, 2024, Timekeepers will no longer be asked to enter employee attendance on the VAX.  All staff time entered in Frontline will automatically be imported into VAX for processing at the end of each attendance period.  Once LACOE’s BEST Human Capital Management (HCM) system is implemented, all employee attendance will be imported from Frontline into HCM as well.  Worksheets and Recap Sheets will continue to be printed from VAX for comparison until no longer needed (or the VAX dies, whichever comes first.)  Read-only access to the VAX will continue until further notice.

 

It is important to verify your site’s attendance data in Frontline and report any discrepancies to the ITS Application Helpdesk at xHELP (x4357) or submit a ticket in the ITS Helpdesk System under “Software > Frontline” or “Account / Permissions > Frontline” depending on the type of issue.

 

Training and Support

A refresher Frontline Timekeeper Training will take place on September 12, 2024 at 10:00 a.m.  ITS, Payroll, and HR staff will be available for 2 hours immediately following the training to answer any questions.  Please feel free to contact the ITS Application Helpdesk anytime during business hours for assistance with the application.

Q:  When will staff be able to enter their own absences?
A: Staff have the ability to enter their own absences now; However, it is important to note that Frontline Approval Processes have not been completely set up.  Please refer to your bargaining unit's agreement on requesting leave.
 
Q:  If I have a staff member who is not showing up, what should I do?
A:  Create a helpdesk ticket under "Account / Permissions > Frontline" to request ITS to correct the issue.
 
Q:  If I have a staff member who's attendance isn't displayed correctly in Frontline, who should I contact?
A:  Create a helpdesk ticket under "Software > HR / Frontline" to request ITS to correct the issue.
 
Q:  What if I am only working until 1 but my lunch is scheduled from 12:30 to 1:00 p.m.?
A:  Please adjust your leave time to reflect the correct deduction and make a note in the notes field.
 
Q:  What if I don't have access to a computer?
A:  Frontline's mobile app works from your mobile phone and is simple to use.
 
Q:  What if I don't want to use my personal device to access my attendance?
A:  Ask your administrator regarding access to a device.
